Part-Time Payroll Executive (25 hours p/w Monday to Friday)
Up to £22,000 p.a. plus excellent benefits package
Process accurate payroll data within ESOS to ensure timely payment to all employees for UK and Ireland, pensioners and ISE’s.
Maintain payroll information so that data held is accurate and to ensure it complies with the Data Protection Act.
Pension & AVC Administration
Complete company pension and voluntary contribution schedules to ensure that monies paid over and are accurate. Carry out monthly pension reconciliations. Reconcile Pension Members and keep list up to date, in order to capture any auto enrolment problems and reasons why not joined/opted out. Track AVC payments and reconcile monthly.
Provide an advisory and information service to all employees and pensioners on pay related issues to ensure they are dealt with promptly and correctly and the correct information is give. New starters will be contacted by the job holder to help set up their on line payslips. Although payslips are on line, pensioners are still manual.
Prepare management reports from ESOS as required to ensure full support is given to the business. Month end processes need to be completed such as gross to nett reconcilations, audit reports
The job holder will be responsible for fully administering car deductions via payroll and direct debit for employees, pensioners. Reconciliations would also be required. This is now automated however it requires accurate checking to ensure payments have been made correctly.
The job holder would be the main point of contact with Care4 (our childcare provider). Monthly reconcilations are required.
The job holder will be responsible for balancing payroll, and making sure all payments are made, salaries, 3rd party payments etc timely. Relevant recharges would also be processed on a monthly basis. Leavers processes are also followed, to ensure healthcare and pension providers are contacted and informed of the leave date. Ensure maternity/paternity/sick pay deductions/payments are made. Processing Statutory deductions such as Student Loan, Attachments, PAYE, and National Insurance
Year End Procedures
The job holder would need to fully complete P60s, P11ds, RTI (although this is now carried out monthly).
Have a working knowledge of ISEs (international seconded employees?) worldwide. Third party are used for support (Deloitte and Sweden ISE department).
Mercer require end/beginning of the year renewal data for life assurance, pension purposes, private health and PHI (permanent health insurance).
Had previous experience (minimum 5 years) running a payroll, using a bureau, in a similar setting. GCSE in Maths and English Preferable - Diploma in Payroll Management Working knowledge of Irish employment law legislation
- Respect of Confidentiality and a full understanding of the sensitive nature held within this function, especially as the department are open plan.
- Accuracy and numeracy
- Computer literature, previous experience of ESOS would be advantageous
- Good communication skills, and a professional manner in order to deal with a variety of people (within the office, payroll bureau, tax office, DSS)
- Understand the need to manage the workload between deadlines. This is imperative. The job holder would also need to meet all the controls required by the government and the company. The job holder will be actively encouraged to attend twice yearly the government updates.
- Be a team player and be able to work as part of a team as well as on your own.
- Be self-sufficient and be able to work under little supervision
